Booking & Payment Policy
To confirm your booking, all reservations must be made through our official website, email, or authorised representatives. A deposit is required to secure your preferred climbing dates, with the remaining balance payable before the expedition begins, unless otherwise agreed in writing. Bookings are confirmed only after payment has been received and written confirmation has been issued by Mt. Kenya Guiding. Payments may be made using the available payment methods listed on our website. Clients are encouraged to book early, particularly during peak climbing seasons, to guarantee availability. It is the client’s responsibility to provide accurate personal information and disclose any relevant medical conditions or special requirements before the expedition. Failure to complete payment within the agreed timelines may result in cancellation of the booking. Prices are subject to change without prior notice; however, confirmed bookings remain protected at the agreed rate. Cancellation & Refund Policy
We understand that travel plans may occasionally change. Should you need to cancel your expedition, please notify us as early as possible in writing. Refund eligibility depends on the timing of the cancellation and any costs already incurred for permits, accommodation, transport, guides, or other third-party services. Where possible, we will refund the unused portion of your booking after deducting any non-recoverable expenses. No refunds will be issued for unused services after an expedition has commenced or where a participant voluntarily leaves the climb. In the unlikely event that Mt. Kenya Guiding must cancel an expedition due to circumstances beyond our control, clients may choose between rescheduling to a future available date or receiving a refund of recoverable payments. We strongly recommend obtaining comprehensive travel insurance covering cancellations, medical emergencies, evacuation, and personal belongings before travelling.
Environmental (Leave No Trace) Policy
Mount Kenya is one of Africa’s most treasured natural landscapes, and we are committed to preserving its beauty for future generations. All clients are expected to follow internationally recognised Leave No Trace principles throughout the expedition. This includes disposing of waste responsibly, avoiding damage to vegetation and wildlife, remaining on designated trails, minimising campfire impacts where permitted, respecting local communities and cultural sites, and leaving the mountain exactly as it was found. Participants should avoid single-use plastics wherever possible and carry reusable water bottles and environmentally friendly equipment. Our guides actively promote sustainable trekking practices and encourage responsible behaviour at every stage of the journey. We reserve the right to address any conduct that may negatively impact the environment or compromise conservation efforts. Together, we can ensure that Mount Kenya remains clean, beautiful, and enjoyable for future climbers.
Safety Policy
The safety and wellbeing of every climber remain our highest priority. All expeditions are led by experienced local guides who are trained to manage mountain conditions and respond appropriately to emergencies. Before every climb, participants receive a safety briefing covering route information, weather conditions, altitude awareness, equipment requirements, and emergency procedures. Clients are responsible for ensuring they are medically fit for the chosen expedition and for informing us of any health conditions that may affect their participation. Climbers are expected to follow the instructions of their guides at all times and use appropriate clothing and equipment for mountain conditions. While every reasonable precaution is taken to minimise risk, mountain climbing involves inherent hazards, including changing weather, altitude sickness, uneven terrain, and other natural conditions. By joining an expedition, participants acknowledge these risks and agree to act responsibly throughout the journey.
Photography & Privacy Policy
We value your privacy and respect your personal information. Details collected during the booking process are used solely to organise your expedition, communicate important travel information, and improve our services. Personal information is handled responsibly and is never sold or shared with unauthorised third parties. During expeditions, our guides may capture photographs or videos for promotional purposes, including our website and social media platforms. Where practical, we will seek your consent before using images in which you are clearly identifiable. If you prefer not to appear in promotional content, simply inform us before or during your expedition, and we will respect your wishes wherever reasonably possible. Clients are also encouraged to respect the privacy of fellow climbers, guides, local communities, and other visitors when taking photographs during the expedition.
Responsibility & Liability Policy
Mt. Kenya Guiding is committed to providing professionally organised, safe, and enjoyable climbing experiences. However, mountain expeditions involve inherent risks beyond our reasonable control, including adverse weather, altitude-related illnesses, wildlife encounters, trail conditions, transport disruptions, and other unforeseen circumstances. While we take every reasonable measure to minimise these risks, participants accept personal responsibility for their decisions, physical fitness, and compliance with guide instructions throughout the expedition. We are not liable for delays, itinerary changes, injuries, illness, loss or damage of personal belongings, or additional expenses arising from events beyond our control. Clients are strongly encouraged to obtain comprehensive travel, medical, and evacuation insurance before travelling. By confirming a booking and participating in an expedition, you acknowledge these inherent risks and agree to participate voluntarily while respecting all safety guidelines and the instructions of our guiding team.
